The emails you delete from your Gmail account are forever once you empty your trash folder. Instead of deleting emails, you can archive them if you want to hide them. In this way, the emails can be found and retrieved at a later date.
Gmail allows you to archive an email by selecting it (or multiple emails) from the inbox and then clicking the Archive button on the right side of the screen.
When you select emails from your account, you will find the “Archive” button in the menu directly above your list of emails on the Gmail website.
As soon as you open the Gmail app for iPhone, iPad, or Android, Laptop, or PC you will see a button for Archiving that can be tapped in the top menu that appears. There is a similar design to the Archive button on the Gmail website, which resembles button on the Gmail website.
Your primary Gmail inbox and any focused categories you might have created in Gmail will no longer display any of the emails you archive.
Even if you decide to create a separate folder instead of using Gmail labels, you will still be able to view them under that folder.
In Gmail, archived emails disappear from the standard view we mentioned earlier. The best way to discover archived emails in Gmail is to switch to the “All Mail” folder view by selecting the “All Mail” option.
If you use this method, all your Gmail emails will be listed in one long list, including priority emails and any emails that Gmail has automatically categorized. You can access this list by clicking on the “All Mail” label in the left Gmail menu on the Gmail website, which will bring up a list of all your emails.
It is easy to do this in the Gmail app by simply tapping the three-dot menu icon in the top-left corner of the screen. In this case, you must scroll down and tap on the label “All Mail.”
This method has a downside, especially if you have many emails to sort through- the sheer number of emails you’ll have to make your way through as you go through them.
Archiving an email using this method is acceptable if you have only recently archived an email. However, you might need to use the Gmail search bar to locate an archived email instead if you have recently archived an email.
Unfortunately, when you use the Gmail search bar that appears at the top of the Gmail website or in the Gmail mobile app, there is no “archive” label that you can use to search for what you are looking for.
If you want to search for your archived email manually, you’ll need to know the email’s topic, sender, or subject when you archived it. It is also possible to use advanced Gmail search filters to find emails that aren’t in standard folders, such as your inbox, sent folder, and drafts folders, by using the advanced search filters.
Gmail is available in the form of both an app and a website, so you can choose which one you would like to use. There is a good chance that this will list your archived emails in most cases. Enter the following search terms in the search bar: “-in Sent -in Draft -in Inbox” to do this.
In Gmail search queries, you can also add the phrase “has:nouserlabels” to remove any emails that already have a category label associated with them. Categorized emails can be viewed even if archived in a labeled folder.
The following method isn’t foolproof, but it should help you narrow down your archived emails if you’re having trouble finding them using a basic search or in the “All Mail” folder when searching for them in your inbox.
